Using the Send to Many to upload and process bulk orders in Shopify

Updated over a month ago

Managing corporate gifting orders on behalf of your customers can be a logistical challenge. Coordinating multi-recipient shipments, tracking delivery statuses, and ensuring consistent branding across dozens or hundreds of orders can be time-consuming and error-prone. As a Shopify merchant, you want to provide a seamless and professional experience for your corporate clients while streamlining your internal processes. That’s where Send To Many comes in.

Send To Many is a powerful Shopify app that allows you to efficiently handle bulk gifting orders, helping you manage recipient lists, customize shipping, and automate key tasks—all from a single, intuitive dashboard. With Paid Sends, you can ensure that your clients’ corporate gifting campaigns run smoothly, saving your team time and effort while ensuring your customer has a great experience.

Creating a Paid Send

The process begins in the Send To Many dashboard, where you can start a new Paid Send. Name your send to reflect the campaign’s purpose, such as “ACME Corp Holiday Gifts.” You can also include optional details like the store representative managing the order or a description to keep everything well-organized.

In Send To Many, a draft order template serves as a blueprint for your send. Think of it as a starting point that defines the key details common to all orders in a Paid or Free Send. These details include:

  • The product(s) being sent.

  • Any discounts applied (e.g., bulk order discounts).

  • Your customer as they would like to appear on the order (used to represent the sender, such as your corporate client).

You only need to create one draft order for each type of send. This draft will be used as a template to generate the individual orders for all recipients. You don’t need to create separate drafts for each recipient.

Uploading Multiple Recipients at Once

When you upload your recipient list, Send To Many customizes each order by adding the unique details for each recipient (e.g., their name and address) to the information from the draft order template. This ensures consistency while allowing personalization for each recipient.

Here are templates to format your data:

  • Excel template: add your data to either the Standard Upload or the With Products tab as needed. Then save that tab as a CSV for upload in the app

  • Google Sheet template: make a copy of this Sheet for your own use. Then share it with "anyone who has the link" as a viewer. Finally, copy and paste the full URL of the tab containing your data and use this URL in the app.

Uploading Different Products for Different Recipients

If your send includes different products for different recipients, use the "With Products" tab in the upload template. Find the Variant ID in Shopify for each product and add it to the Sheet.

This allows you to specify the product being sent to individual recipients. If no product is specified in the upload, the app will default to the product(s) specified in the draft order template.

Once your template is ready, upload your recipient data via CSV or Google Sheets. Send To Many reviews your upload for errors, such as incomplete addresses or invalid fields. Any issues can be fixed directly within the app, or problematic entries can be excluded without requiring you to re-upload the file.

Configuring Shipping Options

Shipping is critical in corporate gifting, and Send To Many simplifies this step. The app uses your Shopify store’s shipping settings to calculate available rates based on recipient locations. You can select shipping methods for each recipient—such as Standard or Expedited—or apply custom rates if needed. This flexibility ensures your client’s needs are met while optimizing costs.

Managing Shipping Notifications

You have full control over delivery notifications, ensuring clear communication that aligns with your client’s preferences:

  • Suppress all notifications: No notifications are sent, which avoids bombarding your client with unwanted shipping notifications

  • Notify recipients: This is ideal if the recipients need shipment tracking.

  • Notify the client (sender): This ensures your corporate client has visibility into the status of all orders. Note that choosing this option means they may receive 3-4 emails FOR EVERY ORDER in the send!

Processing and Payment

Send To Many offers flexible payment workflows. You can generate an aggregate draft order before processing individual orders. This draft consolidates all costs into a single invoice, which can be sent to your client for approval. Once payment is received, return to the app to process the recipient-specific orders.

Alternatively, if payment is already arranged, you can process all orders immediately while simultaneously generating the aggregate draft for your records. Each individual order is created with the recipient’s details and appears in your Shopify Admin, ready for fulfillment.

Monitoring the Send

After processing, all orders are displayed on the Send To Many dashboard, where you can monitor their statuses. Any issues, such as delivery exceptions, can be quickly resolved, ensuring a smooth and professional gifting campaign for your client.

As a Shopify merchant, providing seamless corporate gifting solutions is a valuable service you can offer your clients. Send To Many gives you the tools to handle bulk orders with ease, helping you deliver exceptional service while optimizing your workflows. By automating complex tasks, the app allows you to focus on what you do best—building strong relationships with your customers and helping them create lasting impressions.
